1. Who We Are

Felos ("we", "us", "our") is a task scheduling platform for operations managers and field workforces. For Manager account data, Felos acts as data controller. For Worker data entered by a Manager, Felos acts as data processor on behalf of that Manager.

2. Scope

This policy applies to Managers, Workers, and website visitors.

3. Data We Collect

We process account identity data, tenant/business data, worker assignment data, operational scheduling data, proof data (photo/GPS), audit/security metadata, and website usage metadata.

Waitlist submissions process email only. Contact submissions process name, email, category, message, and request metadata.

4. Special Category Data

Days-off reason values that may indicate health context are treated as sensitive data. Access is restricted, encrypted at rest, and retained only as necessary for lawful scheduling/audit operations.

5. How We Use Data

• Operate tenant scheduling and task execution workflows
• Deliver worker notifications through messaging channels
• Validate completion proof and GPS radius checks
• Support translation, security monitoring, and compliance logging
• Provide support and respond to legal/privacy requests

6. Data Retention

Retention follows operational necessity, legal obligations, and data-minimization principles, including shorter retention windows for proof/location details and longer windows for required financial/audit records.

7. Third-Party Services

Felos relies on infrastructure and providers including Supabase, Vercel, Fly.io, DeepL, messaging providers, and Stripe. Where required, contractual safeguards (including SCCs where applicable) are used for data transfers.

8. International Transfers

Where data is processed outside the EEA/UK, Felos applies appropriate transfer safeguards under applicable law.

9. Security

Controls include TLS in transit, encryption at rest, role-based access, tenant isolation, audit logging, and EXIF-stripping for proof photos.

10. Your Rights

Subject to applicable law, you may request access, rectification, erasure, restriction, portability, or objection by using our contact form.

11. Cookies

Felos uses essential cookies required for authentication and security. We do not use advertising trackers.

12. Children

Felos is not directed to children under 16.

13. Policy Changes

We may update this policy and will revise the "Last updated" date. Material changes are communicated to account holders.
